VOCATION DESCRIPTION: OPERATIONS MANAGER

 

Organization Overview

Jail Chaplains is a nonprofit organization in Fargo, North Dakota on mission to bring Christ’s salvation to jail, serve and disciple in the community and connect to His church.  Our mission is carried out by four paid staff members and approximately 150+ volunteers who lead groups both in jail and community settings.

 

Position Summary

The Operations Manager serves in a multifaceted role that combines administrative management, fundraising support, and volunteer coordination. This position is critical to the sustainable growth of Jail Chaplains, supporting both our program delivery and organizational capacity.

 

Key Responsibilities

Administrative Operations (40%)

  • Manage day-to-day office operations and organizational systems

  • Process and maintain financial receivables and payables process

  • Handle correspondence and communications

  • Coordinate board meeting logistics, prepare materials, and maintain records

  • Oversee data management systems and reporting

  • Support program staff with administrative needs

 

Development & Fundraising (30%)

  • Assist with execution of a comprehensive fundraising strategy

  • Research, write, and manage grant applications and reporting

  • Plan and coordinate logistics for fundraising, outreach, and special events

  • Maintain donor database and acknowledgment systems

  • Assist with fundraising communications including appeals, newsletters, and reports

  • Assist with cultivation and stewardship of donor relationships

  • Support the Executive Director in major donor engagement

 

Volunteer Coordination (30%)

  • Assist the Small Group Coordinator, Lead Chaplain, and Executive Director in managing our growing volunteer base of 150+ individuals

  • Oversee volunteer continuum from recruitment to orientation and ongoing training

  • Maintain volunteer schedules, ensuring appropriate coverage for all programs

  • Build volunteer retention initiatives and recognition programs

  • Track volunteer hours, engagement, and impact metrics

Qualifications

Required

  • High School Diploma 

  • 3+ years of experience in related position

  • Demonstrated success in volunteer management and fundraising

  • Excellent written and verbal communication skills

  • Strong organizational abilities and attention to detail

  • Ability to maintain strict confidentiality

  • Proficiency with Microsoft Office suite and donor management software

  • Self-motivated with ability to work independently and as part of a team

  • Alignment with the organization’s mission, vision, values and statement of faith.

 

Preferred

  • Experience working with faith-based organizations

  • Grant writing experience

  • Event planning experience

 

Working Conditions

  • Full-time (40 hours/week) position with occasional evening and weekend commitments

  • Some evening and weekend work required for special events

  • Local travel within the community

  • Office-based
